# Position Summary Information## Department DescriptionThe UNC Eshelman School of Pharmacy is a nationally recognized leader in progressive pharmaceutical care practice, education, and research. It has been recently named the # 1 School of Pharmacy in the nation by US News and World Report.The Division of Pharmaceutical Outcomes and Policy (DPOP) is committed to excellence in research, education, and service that advances the optimal use of medications with the goal of improving human health. Medications play a critical role in the prevention and management of many acute and chronic illnesses. However, the potential benefits that can be derived from medications are mitigated by a myriad of factors operating at different levels of the ecological framework (e.g., patient, family, health-care provider, health-care system, governmental policy). Key challenges must be addressed to optimize medication use. Addressing these complex issues requires an interdisciplinary approach aimed at expanding scientific knowledge and translating this knowledge into solutions that improve optimal medication use. DPOP has eleven faculty members, 39 adjunct faculty members and up to 11 graduate students. DPOP is one of the few programs in the country housed in a school of pharmacy with faculty who have an active research program in pharmaceutical outcomes and policy. Provide administrative support at a high performing level with calendaring and scheduling meetings for faculty and staff. Provide clerical support as needed for grants, special projects, conference registrations, filing, maintain records or programmatic activities for use in subsequent years, with the process and maintenance of confidential documents and information. Proofread and edit correspondence, reports, records, etc. as necessary. Scan and mailing of documents as needed for faculty within the division. Initiate and follow-up on routine correspondence. Assistance with regular and special communication, preparing drafts and final copy for distribution. Answer and route incoming calls, monitor/order office supplies for the division. Assist faculty and students with coordinating travel, handling financial reporting for travel and business expenses, and assist with the planning and administration of faculty courses. Work with faculty and course TA?s in preparing syllabi, lecture materials, handouts and copying quizzes and exams for professional and graduate work. Coordinate meeting events and forums to include: room reservations, agenda materials, meeting minutes, and refreshments as appropriate. Organize, coordinate and facilitate division seminar series or guest speakers for graduate courses. Lead in the coordination of seminar series and special events to include (speakers, room reservations, communications, travel arrangements, Av and audio equipment, etc.). Assist with organizing small event planning for the division. The Graduate Studies Program Coordinator is heavily involved with all matters regarding the graduate program within the division. Assist the Division Director of Graduate Admissions, Division Director of Graduate Studies, and industry fellowship program directors with managing the graduate and fellowship programs housed in the division. Assistance includes recruitment, application processing, admission, progression, self-study reviews, and graduation. Perform PubMed searches and locate journal articles, books, and bibliographies for faculty from campus library as assigned. Assist faculty in the preparation of abstracts. Assist faculty in updating curriculum vitae and bio-sketches. Update content on website and recruitment brochures. Assist with other duties that may be required, as needed.## Minimum Education and Experience RequirementsHigh school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.## Essential Skills, Knowledge and Abilities* Experience in applying general business practices such as travel coordination, processing reimbursements and check requests, event planning and meeting registration, or related administrative responsibilities.* Attention to detail and demonstrated ability to review and correct work products and assure the smooth daily operation of business practices.* Experience working independently, determining and applying priorities and exercising discretion in communications, managing records, and security protocols.* Professional written and verbal communication skills are essential.* Possess a working knowledge of all Microsoft Office products, as it pertains to their position. This would include the following for the Administrative Support Specialist: Outlook, Word, Excel, and PowerPoint. It is expected that upon hire the Administrative Support Specialist will maintain a level of proficiency related to these products.* A professional demeanor is necessary.## Preferred Qualifications* A bachelor?s degree.
